Terms of service

These terms govern the use of Housefolio, a software service that lets vacation-rental hosts create and share digital guest guides. By creating an account you accept them.

1. Provider

2. The service

Housefolio lets you create, translate and publish guides (welcome books) for your properties, shared through links or QR codes, and coordinate collaborators such as cleaners. Housefolio does not handle bookings or payments between you and your guests.

3. Accounts

You must be at least 18. Sign-in works through a link sent to your email, so you are responsible for the security of your mailbox. An account corresponds to an organisation, which can hold several properties and collaborators you invite.

4. Free trial and subscription

Every new organisation gets a 30-day free trial with no card. A referral code from another host can extend it. When the trial ends, published guides go offline until you subscribe; your content stays saved.

Subscriptions are monthly or annual and the price depends on the number of properties in the organisation, following the tiers shown on the Pricing page when you subscribe. The property count updates automatically when you add or remove one and is reflected on the next invoice. Prices exclude VAT; applicable VAT is calculated at payment based on your country and VAT number, if any.

Payments are handled by Stripe. You can switch cycle (monthly/annual), update your payment method and cancel from the billing portal at any time. Cancellation takes effect at the end of the period already paid; there are no refunds for partial periods except where the law requires.

If a payment fails we email you. After 7 days of failed payment, guides go offline until a payment succeeds.

If you are a consumer under the Italian Consumer Code, you may withdraw within 14 days of starting a paid subscription: write to hello@housefolio.app and we refund the amount, minus the part of the service already used if you asked for immediate activation.

5. Your content

You keep ownership of everything you upload. You grant us a limited licence to host, translate, reproduce and display it solely to provide the service. You warrant that you have the right to use the photos, texts and information you publish and that they are accurate. Guides may contain sensitive information such as door codes or Wi-Fi passwords; you are responsible for who has the link or PIN.

Automatic translations can contain errors. Check important texts (safety instructions, house rules) before publishing.

6. Acceptable use

You may not use Housefolio for content that is illegal, misleading, defamatory or infringes third-party rights; to send spam; to attempt access to other people's accounts or data; or to overload or compromise the service. We may suspend or close accounts that breach these terms, notifying you by email unless urgent.

7. Availability and changes

We do our best to keep the service available but do not guarantee uninterrupted operation. We may change or discontinue features; if a change substantially reduces the service we give at least 30 days' notice and you may cancel with a refund of the unused period.

8. Liability

To the extent permitted by law, our liability for damages arising from use of the service is limited to the amount you paid us in the 12 months before the event. We are not liable for indirect damages or for losses caused by inaccurate information published in guides. Nothing in these terms limits liability for wilful misconduct or gross negligence, or mandatory consumer rights.

9. Termination

You can delete your organisation at any time from the Account page: content and collaborators are deleted and the subscription cancelled. We keep only tax records for the period required by law.

10. Governing law and jurisdiction

These terms are governed by Italian law. Disputes with consumers go to the court of the consumer's place of residence or domicile; otherwise the court of Rome. For online disputes you may use the EU ODR platform (ec.europa.eu/consumers/odr).

11. Changes to these terms

We may update these terms. Material changes are announced by email at least 30 days in advance; continuing to use the service after that date means you accept them. The date at the top shows the current version.
