Privacy policy

1. Controller

2. Who this covers

Housefolio is used by three kinds of people, with different data:

• Hosts: people who create an account and publish guides for their guests.
• Guests: people who open a guide through a link or QR code. No account needed.
• Collaborators (cleaners, co-hosts): people who receive a link or an invitation from a host.

3. Data we process and why

Hosts — email address, name (optional), the contact details you choose to show guests (phone, WhatsApp, links), guide content (text, photos, videos, property addresses), billing details (name, address, VAT number) handled by Stripe. Purposes: providing the service, signing you in via email link, invoicing the subscription, service messages (sign-in links, trial expiry, payment outcomes). Legal basis: performance of the contract (art. 6.1.b GDPR) and legal obligations for invoicing (art. 6.1.c).

Guests — no identifying data. Pages record anonymous view statistics (page, day, browser language) and, when the host set a PIN, a technical cookie that remembers access. If you send feedback from a guide we keep the text and, if you enter it, your name or contact. Legal basis: the host's legitimate interest in knowing how many people read the guide (art. 6.1.f) and consent for feedback (art. 6.1.a).

Collaborators — name (optional), photos and notes uploaded during a cleaning turnover, completion time. Visible to the host who invited you. Legal basis: performance of the contract with the host (art. 6.1.b).

Technical data — IP address and request logs kept by the hosting provider for security and abuse prevention (art. 6.1.f), for at most 30 days.

4. Automatic translation

Guide texts are sent to Anthropic for translation into the languages the host enables. We never send emails, contact details or billing data. Anthropic does not use this content to train its models.

5. Processors

We use the following providers, bound by contract under art. 28 GDPR:

For US-based providers, transfers rely on the European Commission's Standard Contractual Clauses or the Data Privacy Framework where applicable.

• Vercel Inc. (USA) — application hosting and CDN.
• Neon Inc. (database hosted in Frankfurt, Germany) — application data storage.
• Cloudflare Inc. (R2, European Union) — storage of uploaded photos and videos.
• Resend Inc. (USA, sending from Ireland) — transactional email (sign-in links, invitations, notifications).
• Stripe Payments Europe Ltd. (Ireland) — payments, invoicing and VAT calculation. Housefolio never stores card details.
• Anthropic PBC (USA) — automatic translation of guide texts.
• MapTiler AG (Switzerland) — maps and address geocoding.
• Inngest Inc. (USA) — background jobs (translations, reminders).
• Umami Software Inc. (USA) — visit statistics for the public site (housefolio.app) only, with no cookies and no identifying data. Guest welcome books are not included.

6. Retention

• Account and content: as long as the account exists. You can delete your organisation from the Account page: properties, photos, videos and collaborators are deleted immediately and the Stripe subscription is cancelled.
• Invoices and tax records: 10 years, as required by Italian law.
• View statistics: aggregated per day, no identifiers, kept for 24 months.
• Guest feedback: until deleted by the host or with the organisation.
• Technical logs: 30 days.

7. Cookies

Housefolio only sets functional cookies: the host session (after sign-in), the dashboard language and, on PIN-protected guides, the cookie that remembers access. There are no profiling or third-party advertising cookies, so no banner is required. Public-site statistics are collected with Umami, which sets no cookies and does not identify visitors; guest welcome books are not tracked by any external service.

8. Your rights

You can request access, rectification, erasure, restriction, portability of your data and object to processing (arts. 15-22 GDPR) by writing to hello@housefolio.app. We answer within 30 days. You can also lodge a complaint with the Italian supervisory authority, the Garante per la protezione dei dati personali (www.garanteprivacy.it).

If you are a guest and want feedback you sent removed, write to us with the guide and the date.

9. Children

The service is intended for adults. We do not knowingly collect data from anyone under 18.

10. Changes

If this notice changes materially we email hosts before the change takes effect. The date at the top shows the current version.
